Untap is designed to offer a flexible and scalable environment for managing a wide variety of initiatives—from innovation challenges and competitions to award programs and beyond. To help you navigate the platform efficiently, it’s important to understand its core structure, which consists of workspaces, platforms, and programs. Each layer plays a distinct role in organizing your initiatives and ensures that your programs run smoothly from start to finish.

In this section, we’ll break down Untap’s key organizational elements and guide you on how to use them effectively so you can maximize Untap’s capabilities and tailor the platform to your organization’s needs.

Workspaces

A workspace in Untap is a broad organizational unit that helps you group and manage different initiatives efficiently. Workspaces can represent and be designated for departments, regions, faculties, program/platform types, goals, and more. Each workspace acts as the primary hub where you can organize and manage multiple platforms and programs.

  • Use workspaces to reflect major organizational units like departments, business areas, or regions.
  • Leverage workspaces to organize related platforms and programs, making it easier to track initiatives and manage them holistically.

How to Create a New Workspace


  1. Open the Workspaces Menu

    On the left-hand side of your dashboard, locate the "Workspaces" menu.

  2. Create a New Workspace

    Click the plus (+) sign next to "Workspaces" to create a new one.

  3. Name Your Workspace

    Enter a name for your workspace that reflects the goal or focus, then click Create to finalize.

Platforms

A Platform is a category or focus area within a space designed to group related programs together and serve as a dedicated website where participants can view and explore available opportunities. For example, participants may visit a platform to browse different programs—such as innovation challenges, hackathons, or awards—and choose which to apply for based on their interests.


Platforms help you organize initiatives under specific themes or business functions, making it easier for both organizers and participants to navigate. Multiple platforms can be created within a space to address different needs or focus areas, such as innovation, CSR, or talent development.


How to Use Platforms

  • Platforms can represent categories like CSR, innovation, marketing, or internal problem-solving, making it easy to organize and manage programs under each.
  • Use platforms to keep track of ongoing or recurring activities, such as idea collection, customer feedback, or continuous improvement initiatives.
  • Group your programs into platforms that reflect key business areas, project types, or even specific clients (if you're managing initiatives for multiple customers). This allows for more streamlined management, ensuring each platform addresses distinct goals and audiences while simplifying participant navigation through related programs.


How to Create a New Platform

1. Access the Workspaces Menu

On the left-hand side of the dashboard, find and click on the "Workspaces" menu.

2. Select Your Workspace

Choose the space in which you want to create the platform.

3. Create a New Platform

In the middle of the page, click on New Platform to begin setting it up.

4. Configure Platform Settings

Fill in the following details for your new platform:



  • Logo: Upload your platform's logo, which will be visible on the platform website.
  • Platform Title: Enter a name for your platform to identify it. The title will be visible as the Site Title in the user browser and on search engines.
  • Email: This is the default admin email. This email will receive all platform notifications.
  • Default Language: Select the primary language for your platform. You can always add more and make it multilingual.
  • Timezone: Choose the appropriate timezone. This will affect the deadlines of your programs. You can later select the timezone on a program level.
  • Platform URL: Set the URL for your platform. The default format is a sub-domain; YOUR-SELECTED-NAME.untapinnovate.com, but you can opt for a custom domain based on your subscription plan.

The platform will then appear on your dashboard with two options:


  • Manage: Modify settings, add programs, manage workflows.
  • View: Preview how the platform looks like from the visitors' and participants' perspective.

Programs

A Program is a specific call for applications, event, challenge, or initiative that takes place within a platform. Programs are where the action happens—whether you're running a hackathon, an award program, an open innovation challenge, a startup program, a job posting...etc., each program is designed to meet a specific goal within its platform.

How to Choose the Right Setup:

  • Create programs to launch individual projects or initiatives within each platform (e.g., running an innovation competition under the "Innovation" platform).
  • Tailor your program settings to reflect your goals, including the rounds you need (i.e.: program funnel), the submission forms, the judging methods, the timelines, and much more.
  • You can run multiple programs simultaneously across different platforms to address various organizational needs or objectives.
